This RFQ documentation checklist is for OEM buyers preparing custom sheet metal parts packages. It does not replace the main factory capability page; instead, it helps purchasing and engineering teams send clearer information before quotation.

Quick answer: a strong RFQ package should include drawing revision, 3D files, material, finish, tolerance notes, hardware scope, inspection requirements, packaging and expected order volume.
RFQ Documents to Prepare
| Document | What it should show | Why suppliers need it |
|---|---|---|
| 2D drawing | Dimensions, tolerances, revision, notes and critical features. | Controls inspection and quotation assumptions. |
| 3D file | STEP or native model for geometry review. | Supports DFM, forming review and assembly checks. |
| Flat file | DXF or DWG when laser cutting geometry is fixed. | Improves cutting review and nesting estimate. |
| BOM | Hardware, inserts, hinges, gaskets, labels and supplied parts. | Clarifies assembly scope and purchased items. |
| Finish spec | Color, texture, coating thickness, masking and sample needs. | Prevents finish disputes and thread/gasket problems. |
| Packaging spec | Protection, labels, carton, pallet and moisture control. | Reduces transit damage and receiving confusion. |

Information That Saves Quotation Time
- First order quantity and estimated annual volume.
- Target application and whether parts are visible, outdoor or safety-related.
- Required Incoterm and destination country.
- Any previous quality issue, such as coating scratches, hole shift or weld distortion.
- Whether FAI, AQL reports or material certificates are required.
What Not to Leave Vague
Do not write only “steel part”, “black powder coating” or “standard packing”. Those phrases force the supplier to guess. A better RFQ states material grade, thickness, RAL color, coating film range and packaging method.
When to Use the Main Capability Page
For factory capability, process range and general quotation support, use MSTFAB’s sheet metal fabrication services page. This page is only a supporting RFQ documentation checklist.
FAQ
Can I send only a STEP file?
A STEP file helps geometry review, but a PDF drawing is still needed for tolerances, notes, finish and inspection requirements.
Should packaging be part of the RFQ?
Yes. Packaging affects cost and damage risk, especially for painted panels, welded assemblies and export shipments.
